Responsible for managing front desk operations, patient scheduling, communication, and
administrative functions to ensure efficient clinic flow and an excellent patient experience.

Key Responsibilities
Patient Reception and Customer Service
Greet patients upon arrival in a professional and friendly manner
Confirm patient identity, appointments, and required documentation
Manage patient check-in and check-out processes efficiently
Address patient inquiries in person, by phone, and via email
Maintain a welcoming, organized, and professional front desk environment
Scheduling and Office Coordination
Schedule, confirm, reschedule, and cancel patient appointments in accordance
with clinic policies
Optimize appointment flow to minimize wait times and support clinical
efficiency
Coordinate schedules with dentists and clinical staff
Manage recall systems and follow up with patients for outstanding or upcoming
appointments
Billing and Insurance Administration
Verify patient insurance eligibility and coverage
Submit dental insurance claims electronically and track claim status
Collect payments, process transactions, and issue receipts
Maintain accurate financial and billing records
Records & Administrative Management
Maintain accurate patient information within the practice management system
Track communications with insurance companies, specialists, and laboratories
Qualifications
Education/ Experience
Internationally- trained Dentist (No need to be licensed in Canada)
Previous healthcare reception or administrative experience preferred
Proficiency with dental practice management software (Open Dental preferred)
Strong computer skills, including data entry and basic office software
Interpersonal
Excellent interpersonal skills with a strong focus on patient care and service
Clear, professional verbal and written communication skills
Ability to multi-task, stay organized, and work efficiently in a fast-paced environment
Professional demeanor and ability to handle sensitive information confidentially
